Position Overview
As the Receptionist, you serve as the welcoming face and first point of contact for clients, tenants, contractors, and visitors. This position provides essential support to company operations by managing the front desk, administrative, and client service functions, while maintaining a welcoming and professional environment. Your professionalism, organization, and approachable manner will ensure every interaction reflects the care and quality that Brown Bros. is known for, while supporting the effective delivery of property management services.
Key Responsibilities
Reception & Client Services
- Greets visitors, contractors, tenants, and owners with warmth and professionalism.
- Answers and directs phone calls, emails, and walk-in inquiries.
- Manages the sign out and return of keys and devices.
- Receives, organizes, and distributes mail, packages, and courier deliveries.
- Provides courteous assistance to clients, escalating complex issues as required.
Administrative Support
- Prepares, copies, scans, and distributes forms, invoices, and documentation.
- Performs data entry and maintains accurate, organized records in digital and physical formats.
- Drafts correspondence, notices, and client communications.
- Supports Strata Managers with day-to-day administrative needs.
- Coordinates additional office tasks and special projects as assigned.
Financial Support
- Receives and issues receipts for client payments.
- Assists with petty cash and transaction logging when required.
- Supports the accounting team with invoice organizing and scanning.
Education and Experience
- Previous experience in reception, administrative support or a client service role preferred.
- Experience in real estate or property management is an asset.
- Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook.
- Experience with Yardi is an asset
